How we approach conference room av.
A meeting room either starts in twenty seconds or in five minutes. There is no middle ground. We design and certify each room — small huddle, mid-size collaboration, large boardroom — to a Microsoft, Zoom or Cisco hardware list that joins meetings without a laptop in the room. Auto-tracking cameras frame the speaker, ceiling-array microphones lift voices without lapel mics, and the controller carries one button labelled the actual name of the meeting.
We commission with a written acceptance test — every input, every camera angle, every microphone zone — and we hand the room over with a cheat-sheet so the next user is productive without training.

Common mistakes to avoid
- Buying the displays and codec before deciding the platform (Teams, Zoom, Webex), so the room never reaches single-touch join.
- Specifying table microphones for a room whose layout and finishes call for ceiling arrays — or the reverse.
- Ignoring acoustics and HVAC noise, so a certified hardware kit still produces meetings the far end cannot hear.
- Leaving containment, power and network drops for the AV wall and table until after interiors close.
- Skipping the written acceptance test, so 'the room works' is an opinion instead of a commissioning record.
What to share before a quotation
- Room dimensions, ceiling height and the finishes planned or existing.
- Seat count, table layout and how the room is actually used (VC share, presentation, hybrid town halls).
- The collaboration platform the organisation standardises on.
- Network: which VLAN the room lives on and who manages it.

Microsoft Teams Room or Zoom Room?
Choose Microsoft Teams Rooms for Microsoft 365 organisations and Zoom Rooms where Zoom is already standard — single-touch join and IT manageability are the difference. Microsoft 365 means Teams Rooms is the right answer. — single-touch join, calendar integration, IT manageability via Pro licences. Zoom Rooms is best where the organisation already standardises on Zoom for client calls. We deploy both.
What does a Microsoft Teams Rooms certified configuration require?
A certified compute platform (Logitech Tap, Lenovo ThinkSmart, AMX), a certified camera and microphone bar (Poly, Yealink, Logitech, Bose, Sennheiser, Shure) and a certified controller. Microsoft maintains a published compatibility matrix; we deploy from that matrix to ensure single-touch join works reliably.
How do you handle Bring-Your-Own-Device (BYOD) calls in the same room?
Through a BYOD-mode switch on the room controller — pressing it routes USB audio and HDMI from a guest laptop through the room's microphones, speakers and display, while the certified compute platform releases control. This is the standard request from law firms and consulting practices and we configure it as default.
Ceiling-array microphones or table microphones?
Ceiling-array (Sennheiser TeamConnect, Shure MXA) is the right answer for any room where the table layout is not fixed, where multiple participants need clear pickup, and where keeping the table itself uncluttered matters. Table microphones (Sennheiser SpeechLine, boundary mics) remain valid for fixed-layout boardrooms with formal protocol.
How does AI auto-framing work and is it reliable?
Modern conference cameras (Poly Studio, Logitech Rally, AMX Pod) use computer-vision to detect speakers and auto-frame the active group. In our experience reliability is 90%+ for groups of 4–8; below that count it can over-zoom, above 12 it sometimes misses the speaker. We tune sensitivity per room.
What's the AMC scope for a corporate boardroom?
Quarterly preventive checks (firmware, microphone calibration, video alignment, software-licence renewal), annual audio re-tune, contracted live-meeting escalation path, spare-parts pool for the room's exact equipment. The AMC is scoped to the room and priced in writing after review.
