The selector records where a room stands; this sub-page is the engineering judgement behind each of those items — what decides it, when it stops being reversible, and what this studio will and will not put a number on.

Why do meeting rooms fail on their infrastructure rather than on their hardware?

Because the hardware is the reversible part. A conferencing bar, a display, a controller and a set of microphones can all be swapped in an afternoon; the conduit route from the floor box into the table cannot, and neither can the position of the floor box, the circuit that feeds it, the network segment the room sits on, or the ventilated place the electronics live. Those five decisions are made by the architect, the interior designer, the electrical contractor and the IT team — usually before an AV supplier is appointed, and almost always before anyone asks. The recurring pattern is a room where the technology choice was agonised over and the cable route was assumed: the slab is poured, the table is made, and the only way to get a signal into it is a lead across the floor. That is why the selector asks for the status of conduit, floor boxes, power, network and equipment position as first-class items alongside the microphone and display questions. None of them is an AV decision, and every one of them constrains the AV design.

What has to be settled before the floor and the ceiling close?

Six things, and each one is cheap now and expensive later. The conduit route from the floor into the table, because the joinery drawing has to show it. The floor-box positions relative to the furniture layout, because the furniture layout is what puts them in the right place. A dedicated circuit for the AV, because sharing general small power is the usual cause of hum on a table microphone and of a room that comes back confused after an outage. Power-over-ethernet provision and a network segment at the display and camera positions, because the platform console, the camera and the control surface all live on the network and someone in IT has to own that. A ventilated, reachable position for the electronics, because a sealed credenza runs hot, gets noisy and cannot be serviced without emptying the room. And the display and camera position on the front wall, because the wall build-up and the backing behind it are set when the wall is built. Everything else — which bar, which display, which control interface — can wait.

Ceiling microphones, table microphones or an all-in-one bar — what actually decides it?

The room, the furniture and how much the client is willing to see. An all-in-one bar puts microphone, camera and loudspeaker in one place at the front of the room; it suits smaller rooms, deploys fast, and its reach is limited by the distance from the far end of the table. Table or boundary microphones give close pickup where the seating is fixed, at the cost of cable into the table and of things on the table surface. Ceiling microphones keep the table completely clear and cover a flexible layout, and they are the option most dependent on the room behaving itself: they sit further from every talker, so a live room, a hard ceiling or a noisy air-conditioning diffuser costs them more than it costs a bar. The order that works is room first, microphone second. Look at the finishes, the glazing and the background noise with the room empty, then choose. Choosing the microphone approach first and hoping the room cooperates is the most common way a meeting room ends up sounding worse than the one it replaced.

Why will TechnoGuru not recommend a specific conference camera from this tool?

Because it would be a specification this studio cannot support with data. Recommending a camera for a room means asserting that its field of view covers the table from where it will be mounted, and that is a manufacturer figure. The only camera registry behind this site holds surveillance camera records, none of which carries a field-of-view value of any kind, and none of which comes from a conference-camera vendor. Inferring an angle from a resolution, a lens description or a product name would be inventing a specification, and this site does not do that. What can be published honestly is the geometry, worked on numbers the reader supplies. The horizontal field of view needed to span a width w at a distance d is 2 · atan(w / (2 · d)). Measure the table, measure the distance from the intended camera position to the far end, work out the angle, and compare it with the field of view printed on the datasheet of a camera you are already considering. That comparison is yours to make; the arithmetic is the part this site is willing to stand behind.

How is the Ready / Review / Missing information verdict scored, and what is it not?

Additively and monotonically. Each of the ten readiness items carries a status — settled, partly settled, planned, or not considered — and a readier status can only raise the score, never lower it, so answering more honestly can never be punished. The verdict is the highest band the total reaches. A room where every item is merely planned lands in the middle band, which is where an untouched form opens, so the tool never congratulates a visitor who has told it nothing. What the verdict is not matters more than how it is computed. It is a self-check filled in by the person who knows the room, against no site survey, no drawings and no measurement. It is not a pass, not a fail, not an acceptance certificate and not an engineering opinion on whether the room will perform. Ready means ready to have a proper scope conversation. A room can be Ready by this measure and still need its acoustics looked at, and a room can sit in Missing information and be perfectly buildable — it simply has not been described yet.

Why are glass-walled meeting rooms difficult, and what actually helps?

Two separate problems that get blamed on the same thing. Acoustically, glass is hard and reflective, and a room glazed on more than one side with a hard ceiling and a bare table returns almost everything a talker produces. Microphones pick up those reflections along with the voice, and the far end hears a room rather than a person. No amount of processing recovers it, because the reflected energy arrives as signal. Visually, glass produces a reflection on the display that nobody in the room can move, and daylight from behind a seat turns whoever sits there into a silhouette on camera. What helps is unglamorous and mostly architectural: absorption where it can be accommodated — the ceiling, a rear wall, the floor covering, even the seating — and shading that can bring daylight under control without darkening the faces the camera needs. Both are interior decisions, both are cheaper before the fit-out than after it, and both belong in the conversation before the microphone approach is fixed rather than after somebody complains.

What should commissioning and handover of a meeting room include?

A written test, run before anyone from the client's board sits down. At minimum that means a real call placed to and from outside the building on the platform the room will actually use, every input on the table tried in turn, every microphone zone listened to, the display checked from the furthest seat, and the room started from cold the way the first user will start it. Rooms are handed over far more often than they are proven, and the difference shows up in the first week. Handover is the other half: someone on the client side has to accept the room against that test, and at least one person who will use it every day should be walked through starting a meeting, sharing content and recovering when something misbehaves. A short quick-start card left on the table does more for a room's reputation than most of what is in it. Ask for both in the scope. They are the cheapest lines in the project and the ones that decide whether the room is trusted.

Who needs to be in the conversation, and at what point?

Earlier than most projects manage, and it is rarely the AV supplier who is missing. The architect and the interior designer own the front wall, the ceiling, the furniture layout and the joinery — which between them decide the display position, the camera sightline, the conduit route into the table and where the electronics can live. The electrical contractor owns the circuits and the floor boxes. The IT team owns the network segment, the power-over-ethernet provision and the outbound path the meeting platform needs, and is the single most common late arrival in a room that fails at commissioning. Facilities or the estate team owns the air conditioning, which is the background noise every microphone has to work through. The person who will actually run the room should be asked what goes wrong in the room they use today. The AV design follows all of that. Bringing those people together once, early, with the readiness picture in front of them is worth more than any number of separate conversations later.
